ParticipantI vote Adambomb because he actually made his, not only did his camera take the picture in his signature, but he photo shopped it as well. While Nicknames is awesome, it came from NoDice so Dice should get the credit….just my 2 cents.
Ashley Faulkner
ParticipantI am just trying to help. NoDice is correct we do have a position already in the constitution for someone to attend the SGA meetings. Thanks Dice for pointing to the Constitution:
“It is the duty of the Vice President of Administration to assist the President in securing and maintaining sponsorships as well as to notify active members of the Club of all events and meetings the executive staff shall plan. It is also the duty of the Vice President of Administration to represent the organization to the Western Carolina University student government association when necessary as well as serve as a lesion between the two representative bodies.”
There is no reason why we can’t have more than just the VP of Administration attend the SGA meetings. I wrote this position like I did because we need to have someone from the upper executives attend the SGA meetings, because not only would it look good on our part that the VP attends the meetings, but if SGA had any questions about our financial standings or our activities there would only be one other person better suited to answer the questions, the President. But since it is the duty of the president to oversee the club and its activities, he is typically too busy. Especially since it is primarily the duty of the President to seek and maintain new Sponsors. As Club finances does not need to be shared with everyone and as the President and Vice President should know the financial standings of the club at all times. I am not saying that club finances need not be made public but as I am aware at this time club finances have never been posted on this forum and thusly are not made public. If I am mistaken I am sorry.
I’m not trying to step on any toes, just trying to better inform anyone who would like to know what the duties are of the Vice President of Administration and why those are the duties that I gave that position.
Ashley Faulkner
ParticipantActually, he can’t hold that position. Sorry, He is not an alumni, current student, or faculty.
Ashley Faulkner
ParticipantYes Training the new executives is a very important task, one that we have slacked on a bit in the past. Let’s not forget that after the elections, the new executives and any old executives need to be trained and have their duties and what is expected of them explained to each of them thoroughly.
Though every executive should read the constitution that way they not only know what is expected of them, but of each and every other member of the gaming club. It should help. Just a suggestion, of course.
Ashley Faulkner
ParticipantBack on Topic please, meeting suggestions and things to remember to bring up at the next meeting.
-Forum Word Filter
-Next Lan
-Sponsors
-Marketing: banners flyers, Facebook, website, mailboxes, emails, etc.
-Building Community
-Fundraisiers
-Club T-Shirts
BTW at least one executive needs to print or copy down the ideas for the next meeting from this thread. And copy my threads because the content needs to be read at the meetings especially my post about Positions and their duties.

Another Suggestion : Amendment to change staffing positions for console division? And finally to contribute to overall growth
Suggestion: Promoting the club through media on campus (be it ads in the university theater, fliers, TV62 ads, etc.).
The Marketing Administrator is supposed to Promote the club and its activities to the University, to students and to other interested parties. However, we haven’t had a reliable MA since we created the position. But its already in the constitution that the MA is supposed to do that.
Explain exactly what you want to change about the Console Staffing issue, So that I can draft an amendment.
Ashley Faulkner
ParticipantAlso, ALL POSITIONS ARE UP FOR ELECTION!

Counter Strike 1.6 Council Leader (serves a 1 semester term)
Team Fortress 2 Council Leader (serves a 1 semester term)
Counter Strike Gun Game Mod Council Leader (serves a 1 semester term)
XBox 360 Council Leader (serves a 1 semester term)
Playstation 3 Council Leader (serves a 1 semester term)
Nintendo Wii Council Leader (serves a 1 semester term)
Any other hosted Games or Gaming Platforms Council Leader(s) (serves a 1 semester term)
Council Leader Duties: Facilitate and run meetings for their respective council, manage the general direction of their council, organize smaller events in which their council can participate, promote unity and a sense of community within their council. To update and maintain their respective game and to report any problems or limitations that the game server may have, while updating or upgrading their game server files.
Ashley Faulkner
ParticipantActually, there should be a council leader for XBox 360, one for PS3, one for the Wii, etc. etc. The reason behind this is simple. We have a council leader for every PC Game that we play, thus we should have a council leader for every console we support. I believe that is the way it is written into the constitution, thus the way it should be. It is also written into the constitution that every council leader gets to have their own cabinet.
Here is a direct Quote from the Constitution, if you have any further questions:
“Each council will be represented by one (1) game or gaming platform, which is voted on by the general membership (see Article V). The maximum number of councils shall not exceed ten (10) at any time. No game shall be placed on the server(s) without having a corresponding council. Also, no gaming platform shall be supported by the Club without having a corresponding council and leader.
Each council will have a governing representative, hereafter referred to as council leader, who will directly oversee the activities of their respective council.
It is the duty of each council leader to facilitate and run meetings for their respective council, manage the general direction of their council, organize smaller events in which their council can participate, and finally promote unity and a sense of community within their council. It is also the duty of each council leader to update and maintain their respective game and to report any problems or limitations that the game server may have, while updating or upgrading their game server files.
Each council leader will report directly to the executive council and attend all executive council meetings. It is the responsibility of each council leader to report the agenda and general minutes of their respective meeting no later than twenty-four hours after their respective meeting to the Secretary, so that the Secretary may keep an accurate account of all happenings.”
All you guys have to do is read the constitution or ask me I know what is allowed and what isn’t allowed per our governing body, the constitution. And console Council leaders do not need anyone else over them, i.e. head Console Council Leader, as other Council Leaders do not have anyone over them other than the Executive Committee. Consoles should work together to come up with an agreeable Lan Tournament situation as they have worked in the past with our other hosted Games. This really is a simple process and I understand the lack of comittment, as I know from first hand what you are talking about. This is the way it was supposed to be and it was the way it was back when we first started supporting consoles, but People got lazy and didn’t want to keep track of council leaders so they lumped them, which of couse lumps all the work as well. Just trying to provide insight if it helps.

ParticipantHappy Birthday to the Sexiest Canadian I know!!
Ashley Faulkner
ParticipantFirst I want to say, as one of the few Alumni that the Gaming Club has, I have never been so proud of this (our) Gaming Club. Voice of Reason, obviously does not spend time on this forum or he would not have called out those people he chose to call out. I want to also say that I agree 150% with everything our members have said about everything on this forum. Though we have only been around for 3 years not 4. So we wouldn’t logically have that many alumni. Oh, and we have had many Professors to come to our LAN’s as well. To start naming names: Dr. Barbara Jo White, Dr. Ronnie Stillwell, and Dr. William Richmond, just to name a few.
Second, I want to point out that this is not the first time SGA has asked for more information about where our money goes. Just wanted to point that out, as some one that has dealt with SGA for a number of Organizations. I also want to point out, that if as the Voice of Reason said SGA is comprised of entirely new people. Except for of course the one person whom we have gone to for the past 8 LANs, why then would she not know the changes that SGA had made to the process of accessing money that SGA had awarded us? Strangely puzzling.
Third, Kappmerc You’ve hit the nail on the head. Shane, we need to get a detailed list of all expenses this club has incurred since its conception this is to include the cost of prizes, food, drinks, advertising, trips to App, Servers, software, hosting, website design and maintainence, etc. I’ll help you for the first 2 years as I was in charge of it. Second, we need to get a detailed list of all students that transfered to this school because of this club. Third, we need to get a detailed list of all student that did not transfer out of this school because of this club, meaning they planned on transferring before they joined this club. Fourth, we need to meet with Keith Corzine. SGA has never liked us having ResLife as a sponsor, and I can say this as I have it on first hand knowledge that this is so, I can name names of who said what and when they said if need be. Once you have all this information, meet with Keith Corzine and ITS. See what they think we should do. We do not need to upset SGA. But as the Voice of Reason also said, sorry buddy you should have reworded it, once we become financially stable then they will help us. Well once we become financially stable, as many of you pointed out, we wont need SGA funding. But I would also like to say, we as a club should go to the Vice Chancelor of Student Affairs and demand our funding back as we pay a pretty penny to SGA, and if SGA won’t give it back to us, then they should have to refund our money as it is not fulfilling its purpose as a club.
You want us to fund raise, and host even more events. Well I agree we can do more fundraising. I have suggested many things we can do to fundraise. But host even more events. This clearly was not thought out when you wrote it. I am not attacking you. But if we need $200 from SGA to pay for one of our LAN events, and it costs us an additional $600 to host a LAN party, what makes you think we can come up with an additional $1800 per semester? That is not to say that it is even possible to host 4 a semester. It takes 2 months of solid planning and contacting sponsors, and getting SGA to let us have the money they allotted us, and preparing, and setting up and getting power and getting tables, getting chairs, getting SO MANY THINGS. Ask anyone, I am one of the FEW along with the founders and past and current executives that really know this club and know what it takes to have a LAN event.
I do want to address this statement: “I hope you don’t mind me asking, MasterP (and Mr. Panetta, the Northeastern student making utterly incorrect and unfounded claims against WCU’s SGA), but what have you as members of the Gaming Club done to promote your organization’s financial sustainability?” Let’s see what have Adam and I contributed to this club, where to start. We are two of the founders of this club, so what have we contributed to this club… We have paid more for this club that SGA.
So if SGA has paid thousands of dollars, which I know to be incorrect, SGA has at most given $500 per semester *5 semesters=$2,500. Check your records, this is more than what was awarded because we didn’t get $500 this year.
Let’s see,
we pay for hosting, $30*36=$1,080 for the Server,
$50*36=1,800 for the Ventrilo Server,
$100*3=$300 trips to Appalachian’s LANs for several WCU Gaming Club Executives,
$Matching Contributions to whatever the gaming club raised for the new sever (if we raised about 1,500, we match that)= at least $1,500,
$Lan event prizes=$500 (100*5 LANs)
=5,600
Other Large Contributions we should be reimbursed for:
Website design and maintainence x 2: $20,000 (this includes Adam Faulkner’s Time, Tyler Schryver’s Time, Derrick Lebrocq’s Time, GXTI’s Time, plus others time) To have a website build to this complexity and with this much depth costs atleast $10,000 per website, and we have built two completely different websites.
Flyer and Banner Designs $100 x10 LANS: $1,000
=$21,000
Again, we need to get this information together so that when we say we spend atleast $800 per LAN we have actual documentation we can show as proof. I don’t want to hear that the members of this club DO NOT financially support this club. Because we contribute more than SGA.
And please call Adam Faulkner as this Club was his idea, he is the one that talked ResLife into spending $10,000 for the server we use, and paying for all of our food, drinks, and banners and flyers for every LAN we have ever had and hopefully will ever have. Reslife unlike SGA understands our purpose. We are here to bring potential students to WCU and to retain students at WCU. We are one of the few clubs that can actually say we do that.

Participanti think all you have to do is copy the mirc folder out of your program files into a zip drive.. try that then run defrag a couple of times and call me back .
Ashley Faulkner
ParticipantTwo of those things do not belong in this thread. Sorry Ephraim.
Ashley Faulkner
ParticipantJust add in the information about the LAN, Date, Time, Place, Games to be played, link to registration, Fee’s to enter LAN, Sponsors that we have, etc. It is good to always put this stuff in as a Reminder, but also because it makes it easier should someone want to find the information. I know its all over the forums, but this is where the information is supposed to be. But other than that, good job on the minutes.
Ashley Faulkner
Participant(/Begin Sarcasim)Sorry for thinking that admins and executives should be held accountable for missing meetings where important decisions are made…my bad.
I didn’t name call, I wasn’t calling for resignations, I wasn’t even complaining. I was explaining a truth. But as usual, you guys are attacking me. Let me put my thoughts in a different way so that maybe just maybe ONE person will actually read what I wrote and STOP jumping to conclusions and get defensive for NO reason unless they have a guilty conscience. (/End of Sarcasim)
Executives and Council Leaders should be at EVERY meeting, because the club does not hold that many meetings, and when they do, it is for an important reason. So we can stop this thinking that nothing important happens at meetings, because sorry to contradict you guys but Kuros has BETTER things to do that sit in a room with a bunch of people that doesn’t want to be there. Remimber his Wife is Pregnant and he does have a life as well.
Every meeting is about a LAN. Every meeting is about a game we host. Every meeting is about getting our name out there. Every meeting is about getting more and better sponsors. Every meeting is about keeping this club alive. And when our executives stop coming to meetings, it sets an example to the other members that if the executives don’t care why should they.
Yes why should they? You guys are about to lose a President and do you even have anyone in mind to replace Kuros? Do you have any idea who will be as dedicated to this club as Kuros, Adambomb and NoDice have been? It takes dedication. It takes time. Yes you have a life, yes you are there to learn, yes you have family obligations. But if they take so much time from you that you can not dedicate sufficient time to the club, please do as two of our past Presidents have done, STEP DOWN.
I am not calling for anyone to step down, I have no problems with the executives that currently hold positions. When I said that this has always been my position, I mean it, I called for the resignation of one of our founders from VP of Admin position, because he did not attend meetings, He did not have time for the club. He recognized it as well, but refused to give up his position, so instead others had to pick up the slack because he didn’t do his job. I called for the resignation of one of our past Treasurers because he never attended meetings and didn’t do his job as well. I became the unofficial treasurer because he failed to do his job. This is what I mean, when you can’t make time for meetings because you forgot or whatever the excuse is of the day then you might also start to neglect your duties and someone else has to pickup your slack. I saw this happening at the last LAN. I won’t point any names, and I don’t mean the M.A. either, but there were some executives that weren’t fullfilling their duties and believe me IT WAS NOTICED.
In the end, if you have something positive to contribute to the club, they want you to attend the meetings. If you hold an elected position you should be there out of obligation and duty and most importantly because you want to be there. If you were appointed, you should be there because someone in this club thought enough of you to give you admin because you are obviously an active member in the forums and on the servers. It is understood if you do not live on campus and are not a student at WCU that you might not attend. That is a given. But if you attend WCU, sorry but all I’ve heard thus far are excuses, not reasons.
Oh, and yes the forums are used as a form of communication. But as anyone who has actually attended a meeting can attest to, we do not cover the same material on the forums as we do in the meetings. The people who attend the meetings are typically more dedicated and vote on club executives, LAN event dates, Games that will be played, server games, what games we support and host, where the LAN’s will be hosted, and other VERY IMPORTANT information. As one that has been with this club since its conception it bothers me, when I read executives or members say that attending meetings aren’t that important and that nothing important was covered. If nothing important happened, then we wouldn’t hold a meeting.
Thanks Nickname, you actually read my post!
Ashley Faulkner
ParticipantI’m thinking that there should be some requirement that attendance is mandatory if you hold a position unless you get it approved to miss a meeting or LAN event. We really need our executives and Council Leaders at EVERY meeting, or what is the point of holding the meetings if they ones that make the decisions don’t even bother to attend? I know that sometimes you have a paper due, or an exam to study for or you have to work, but there is no excuse for continued absence, if you really are that busy that you can’t attend a simple meeting, you should not be holding a position because you don’t have time for the club either. I have always felt this way.
Ashley Faulkner
ParticipantActually, it would be good to have the game server admins as they are counted as members as well. Meetings are for Club Members, Club Executives, and all other interested parties. If you have something positive to add to the discussion you are welcome to attend.
And as the server and games are often part of the meeting discussions I don’t see why the Game Server Admins should not attend as it affects them as well, especially if they have information about the server that the club should be made aware of. We rely on the server admins to enforce the club rules, but often they do not know them. We have run into this several times before. If we include the admins into the discussions at our meetings, they might be a little more informed next time they enforce our rules.
Ashley Faulkner
ParticipantIt’s open a bit early don’t you think? But hey if it works, it works.
Ashley Faulkner
ParticipantStill not sure about whether its a good idea, let me check with the other founders to see if it is within the purpose. But even as an exhibition I doubt it is within our purpose. Sorry.
Ashley Faulkner
ParticipantNo, we do not want TEAMS at our LANS, it gets away from our purpose. App does teams and their club suffers for it at their LANS, we have never and should not ever support TEAMS at our LANS. It takes away from the community of playing with people that go to your school. But keep thinking of ways to increase attendance at our LANS. Our numbers should really be alot higher than they are.

ParticipantAshley Britt said:
Also, I know you guys voted on eliminating the membership dues but Adam and I came up with a great idea to keep them. Please look back at my post. Also, I was the one that said that we would bring in more money logically if we charge per LAN and not do memberships. Yes it would bring in more money, but you guys shouldn’t need that extra money for prizes as you should get sponsors to donate those prizes. Refer back to my first post of the day. Not trying to *edited*, sorry.
Also remember for those student’s who don’t have jobs or parent’s supporting them, $5 per LAN is hard to come by, I remember back when Adam, Adam, and Tyler started this club we were very broke, and could barely afford taking the App students out to the Waffle House. And as Shane can attest to, Adam and I were pretty broke most of the last 2 years as well. I’m just saying just because some student’s have money doesn’t mean all students do. I know the membership dues were hard to keep track of, but it actually helps us keep with our mission. Even though I was against the idea in the beginning, we were just trying to think of ways that would make it easier on the Treasurer and future Treasurers to come. Of course we did think about this on the way home from the last LAN. So it was before it was voted on to be removed.
And if the LAN was moved, don’t you think it is a good idea to tell student’s about it? Both should have been incorporated into the minutes. The previous vote on the date, and the amend vote to change the date. Just an idea…
Ashley Faulkner
Participant“Shane Baker proposed that the following LAN should be held December 1st, 2007 at 2:00 in the UC Grandroom
There was a vote to have the next LAN in the UC Grandroom on December 1st, 2007 at 2:00pm
The results of the vote were 18-0-0
The next LAN will be in the UC Grandroom on December 1st, 2007 at 2:00pm
The games to be played at said LAN will be decided at the next meeting pending future game releases.”
As a new rule of thumb, how about we copy previous votes that apply to current meeting minutes, that way I don’t have to keep looking these things up? Logically it should be brought forward…i.e. say
As of April 2007 meeting (of course give date), we voted that the LAN would be held December 1st, 2007 at 2:00 in the UC Grandroom. The results of the vote were 18-0-0 in favor.
The next LAN will be in the UC Grandroom on December 1st, 2007 at 2:00pm
And then continue with the vote of the games that will be played. Just a suggestion. Also, I know you guys voted on eliminating the membership dues but Adam and I came up with a great idea to keep them. someone come up with a membership card…

That way we don’t have to keep track of it, if they bring it they get in for free if they forget or lose it, oh well its their loss. Just a thought!
Ashley Faulkner
ParticipantYes, those that I wrote in the sponsors list we had actually received from before, and they did like giving to us. I know that most don’t respond I’ve been where you are now, so your not telling me or any other past executive anything new. But also keep in mind, as we have been there and done that we also know when you don’t put in the effort, but that is why you ask SOOO many companies to sponsor us that way when 75% don’t respond the other 25% do, and that 25% that do can supply more than what we need. We also need to make sure that it is clear to them that we are not just using them for prizes, that we are also contributing back to them. Make it clear to them that they are announced as a sponsor at each and every event. That they are given an advertising spot on our website, and that if they want we will put them on our banners and fliers!
We lost one sponsor because he couldn’t see any benefit to his business from sponsoring us. And it was true, we as a club did not contribute back. That is not to say that a few individuals did not go and make considerable purchases from him, but he lost more money than we received in return and that is not good business.
Thermaltake has been a great sponsor for us in the past, despite tardiness their prizes still kick butt. Let’s not forget ATI they said once we get over 200 people they would contribute bigger prizes. Lets send them some of our pictures and see if we can’t pretend we are that big. We are close, yet still 100 people away. Let’s not forget NVIDIA or however you spell that, all else fails they give great posters! Let’s also not forget ATD Distribution, that is Josh’s sponsor. Let’s either get with him to ensure continued sponsorship or lets get his contacts and we can contact them ourselves.
As a whole, THERE IS NO REASON why we can’t keep getting the sponsors that we have had in the past if we kept up our end of the bargain and sent them pictures and a brief synopsis of what happened at our LANS.
Everyone of our sponsors knows our website and knows where to look for our LANS, but it is not their job to contact us, it is ours.
Guys if you know of a sponsor that we have not contacted before, give Shane the link and information we need to contact them (i.e. LAN Sponsorship page or person with contact information to contact) Give it to Shane personally. We all want to have a successful LAN, so let’s be sure that don’t have to spend any more of the club money on prizes that we should have had donated in the first place. Come one guys if we help each other out I know we can put together the best LAN yet!
Ashley Faulkner
ParticipantIs it just me, or did you guys not vote on when the next LAN will be? If you did, it is very important to put this and the vote on the date and time of the LAN in the meeting minutes. Glad you voted on the games that will be played. It is very important that you guys also start contacting sponsors, it was well noticed that we didn’t seem to do so well with them at the last LAN. So come on Executives mainly Shane and Tim as this is your responsibility per the constitution! Let’s go out there and get the free stuff! Its free and we don’t have to buy anything if you contact and stay on our sponsors! Let’s not forget the banner and if you want to get an extra one made, have it done about 3 weeks ahead of time, so that you have plenty of time to hang it and get the exposure.
Ashley Faulkner
ParticipantAnd as I told him at the LAN, it is his responsibility to get the banner. It doesn’t matter who has it, as he is held responsible for it
Ashley Faulkner
ParticipantAll of the above, planning for the Next LAN, discussing the last LAN, and club business is always very important. Let us not forget to vote to remove that line from the constitution. Thanks.
