ParticipantHere is the list of those who attended. There are about 5-7 people that are not on here and that’s just cause they came in later in the evening and I hadn’t put them on yet. If there are any misspellings, please keep in mind that each and every one of you wrote down your own name so if I misspelt it, it’s because I could not read your handwriting!

ParticipantAt the end of the LAN I asked Nalgenie “Can I get a copy of the attendance sheet.” She said, “I’ll email it to you.” It didn’t happen.
After the controversy that surrounded the attendance of the last LAN, I’d like for it to be officially established how, and by whom, the LAN attendance is reported. After every meeting, I report the attendance in the Minutes Thread. Wouldn’t I do the same thing for the LANs?
November 9, 2008 at 5:55 pm #62569Bitey
ParticipantIt is his job as per the constitution to report on the attendance of the LAN.

ParticipantIt is the job of the secretary to record attendance. However, unless the secretary wants to sit at the door taking attendance (doing his or her job) and just let the treasurer take money (which is just his or her job)= two people sitting at the door. Ephriam, it makes no difference if the treasurer or secretary make the post so long as it is posted. If there is an error, would you know why it was made or how to fix it? The person sitting at the door taking attendance needs to post, because they are the one that knows if any people were not listed, because they either came in early or way late. The Treasurer has always posted the lan attendance, so lets not be finicky now.
How about the person or persons sitting at the door will report the lan attendance. Preferably an executive.
November 9, 2008 at 10:20 pm #62614Ephraim
ParticipantIf I sat at the table the whole time, it might be difficult to keep track of the LAN itself. Maybe it should get brought up at the next meeting.
Edit: Looking through the archives, meeting minutes have been reported on by the Secretary for years. There is no reason why the LANs should work differently. If the other executives want me to stay at the front table for more of the LAN, I could give it a go, but that would make getting information a little less convienient. As things are currently set up, I can ask the president, vice president, ext. at any time how long a given tournament is going to take and if there is a winner yet. One of my jobs is to keep track of the LAN itself. It’s hard to do this if I’m not even in the same room.
Also, if there is an error, fixing it is as simple as making a quick edit. At that bottom of the first post of the most recent LAN Result Thread I say “If you see a mistake, just send me a PM and I will fix it.”
Admitedly, this is all minutiae, but I like to work out who has responsibility over what.
November 10, 2008 at 12:12 am #62642Ashley Faulkner
ParticipantSo long as the results get posted by an executive and we all have fun at the lan its a win win situation. But please remember, I have been in your shoes, I have been there done that. It really is not that hard to take attendance at the door and keep track of the lan. This is where teamwork comes in handy. The council leaders who set up the tournaments should have the winners for you. if you want to be more active in the lan, you can have someone stand in temporarily for you while you go get pizza, or see the winners of tournaments, or talk to Jason about whatever. Let’s work together.
Adambomb says-thank you for your concern, lets work together team.
November 10, 2008 at 12:15 am #62643Nalgenie
Participantin all actuality, it doesn’t matter. As long as everything gets posted and is reported. I’m not trying to take away anybodies Gaming Club rights or anything, but the information is up. Who gives a crud who put it up? this is not the first time I have put up LAN attendance so I don’t see why it is such a huge issue right now.
November 10, 2008 at 12:34 am #62648Ephraim
ParticipantIt’s not a huge issue, but there is some serious ambiguity right now as to who is supposed to handle the attendance report. The way the Constitution is currently set up, all attendance related issues fall under the authority of the Secretary, just as all financial issues fall under the authority of the Treasurer. I see no reason to change the way things are currently set up, but for the sake of convienience and consistency, I should be the one to report LAN attendance in the same thread as the tournament winners, as I report meeting attendance in the minutes thread. This is why I asked Nalgenie for the attendance sheet at the end of the LAN. She told me she would send it to me, but didn’t.
It may be neccessary to make the Constitution slightly more clear as to who handles LAN attendance. I also want to point out that just before I became Secretary, I was assured that I could be in any tournament I wished and I wouldn’t have to worry about the attendance until after the LAN was over, at which point I just had to get the sheet from the Treasurer. If I end up stuck at the front desk for most of the next LAN, I will not be running for Secretary again, because I actually like to play games and socialize during LAN Events.
November 10, 2008 at 10:52 am #62723
Adam FaulknerParticipantThe only issue is the issue your creating Ephraim.
I do alot of things for other people that hold executive postions and like Nalgenie, we never bash you for not getting to it. It was easier for Nalgenie to post it on the forums rather than send it to you for posting. Why does it matter?
Ephraim again you are doing great with your position, nobody is saying you are slacking off.
The Constitution is more of a guide, not a list of laws.
November 10, 2008 at 11:50 am #62743Oh Malley
ParticipantI think this may become a problem down the line since this is an unspoken policy. Maybe if we just had it posted somewhere, not even in the Constitution to serve as a reminder for future LANs.

Adam FaulknerParticipantthis post is living record.
November 10, 2008 at 12:53 pm #62762Ashley Faulkner
ParticipantOMG. You guys are the reason I’m still around. NO ONE READS THE CONSTITUTION. It says clearly in two sections who takes attendance at the LANS. Let me show you guys so that we can put this one to bed.
Article III Duties of the Executive Council:
It is the duty of the Executive Secretary to record the events of each meeting, as well as take attendance and keep track of all LAN events and activities sponsored by the Club; these records shall also be made accessible by the Secretary to all members of the Club within twenty-four (24) hours after the activity or meeting has ended. It is also the duty of the Executive Secretary to actively seek out prospective members and to preserve a positive perception of the Western Carolina University Gaming Club and its active members and to ensure that active members are able to fulfill their requirements stated forth in this statement of constitution as well as further member relations and set forth their responsibilities within the Club.
Article VII Meetings and LAN events:
At the LAN event, the secretary must take attendance, and record the event in such ways to keep the history of the Club updated. It is also the duty of the Historian to make such visual history available and accessible to all members and alumni of the Club.
Now can we put this one to bed already…just read the constitution!
To sum it up: It is the duty of the secretary to sit at the door and take attendance at the LANS, and at meetings, and at any other event the gaming club has!

And then you quote the Constitution. This is why we need something established. Hence the confusion and lack of consistency. Let’s leave this up for discussion at the next meeting. kk?

ParticipantArticle III Duties of the Executive Council:
In short, it is the job of every executive staff member and council leader to run and operate each LAN event. If he or she is unable to fulfill their duties, it is their duty to find a suitable replacement and to notify the executive staff of such replacement within 72 hours of the beginning of the LAN event.
Yea, read the constitution, it is all in there. thanks.
so again, so long as it is done everyone is happy.

Participantwhat make since to me since the seems to be an issue of who does what… I dont see any reason why the tresuar cant take names like that have alsways in the past. If the fix is to move this duty from one position to the other to make everyone happy,, vote on it at the next meeting and everythign is solved.
I’m pretty sure ephraim you do not wont to be stuck at the door taking names down when their is someone already their that can do it easily.
Does anyone have a problem with this proposal? seems like the common since one to me.
November 10, 2008 at 4:22 pm #62814Ephraim
ParticipantNeither taking names or taking money is particularly difficult. There is no reason to have two people sitting at the front table when one can easily get both jobs done. One of the jobs of the Secretary is to keep track of the LAN itself. That can’t happen if he/she is sitting out front, away from the activities. Imagine if I were not allowed in the room in which meetings took place. The Minutes Thread would be aweful. Even before I took the job I never saw a Secretary tooling around at the table, so I’m not sitting there either. Period.
At the same time, it is more convienient to post LAN Attendance in the same thread as LAN Winners. I don’t create two seperate threads for Meeting Minutes and Meeting Attendance. I think the Constitution needs to be amended to make things more consistent. I’ll type up a proposition and read my thoughts on the matter at the next meeting.
Bottom Line: We’ll discuss it at the next meeting.
November 10, 2008 at 6:26 pm #62849Nalgenie
Participantthis is not the first time that LAN Attendance has been put up by the treasurer in a completely different thread.
A simple PM to me would have been the best way to handle this situation. It’s not a big deal honestly.
November 10, 2008 at 7:59 pm #62860Ephraim
ParticipantOn the great list of important issues facing the club, this ranks just above “do we have enough chips?” I just feel that LAN Attendance should be reported by the Secretary in the same thread as the LAN Winners. I’ll still bring it up at the next meeting.

ParticipantWe tried splitting the meal into 2 seperate meals but it failed. Badly.
Honest mistake as it was discussed at the meeting.

ParticipantYep people demanded a lunch and dinner, so I made arrangements for this to happen, we got the same amount of pizza but instead of all at once it was split up into two deliveries. Dell says next time he will pay for lunch, we put 200 in he puts 200 in, so we get 400 worth of pizza.
